# Permissions and users

Invite users, assign roles and organize your teams from "Users & Teams".

Users are managed under "Settings", "Users & Teams" tab.

## Invite users

{% stepper %}
{% step %}

### Open "Users & Teams"

From "Settings", open the "Users & Teams" tab.
{% endstep %}

{% step %}

### Invite users

Click "Invite users", enter one or more email addresses, then click "Send Invites".
{% endstep %}

{% step %}

### Set the invitation options

Two options are available when you invite someone:

* "Add an admin": the person you invite gets admin rights.
* "Add non paying user": the person is added without taking a paid seat. They can view recordings. They cannot record or connect their calendar.

The role and paid status you choose are visible in the list as soon as the invitation is sent.
{% endstep %}
{% endstepper %}

Everyone you invite receives an email. They first appear with the "Pending invitation" status, then "Pending onboarding" once their account is created, and finally "Active" as soon as their first call is processed by Praiz. If the invitation does not arrive, check the spam folder, then resend it in one click from their row. Praiz also sends an automatic weekly reminder to invited people who have not answered yet.

For agents to apply automatically to a new user's calls, add them to the team those agents target.

## Understanding the user list

The list shows every user in your workspace, without pagination. Search for a user by name or email address, accents are ignored. The team tabs are sorted alphabetically. At the top right of the page, opposite the team tabs, Praiz shows "N paying seats used"; if your subscription carries a number of seats, it shows "N of M paying seats used" and, when you exceed it, "Over your subscription: adjust your seats in Billing or free a licence." "Export CSV" downloads the list (name, email, teams, role, seat, status), with a semicolon as separator for Excel. Each column tells you something about the users' setup.

| ------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Status | Where the user stands: "Pending invitation" (invited, account not created yet), "Pending onboarding" (account created, no call processed), "Active" (up and running) or "Archived" (access cut off). |
| Teams | The teams the user belongs to. A user can belong to several teams. |
| CRM Connection | The CRM the user connected to their account. See Integrations. |
| Calendar Connection | The connected calendar, which lets the bot join their meetings automatically. |
| Paying | The user's licence: "Paying" (paid seat), "Free" (no seat) or "Archived" (archived user). |
| Private | Whether the user's conversations are private. See "Private mode". |
| Admin | Whether the user has admin rights. |

From each row you can edit a user (pencil icon), grant or remove admin rights, assign or remove their seat ("Assign a licence", "Remove the licence"), take over a colleague's seat ("Take a colleague's licence"), archive them ("Archive" action) or delete them (bin icon).

## Roles: admin and user

Praiz has two roles.

### Admin

An admin manages the workspace. They see every conversation, including private ones. They create public and private agents. They set up Smart Actions and webhooks. At least one admin must take a paid seat.

### User

A user records, applies agents and views their conversations, within the workspace privacy settings. They can create private agents only if the "Non-Admin Private Agents" setting is on.

You grant or remove admin rights at any time from the list, or when you invite someone with "Add an admin".

## Paying and non-paying users

Praiz is priced per seat, one per user. The "Paying" column shows who takes a seat.

* Add someone without a seat: "Add non paying user" when you invite them.
* Give a seat to a non-paying user: from their row, "Assign a licence" icon, then confirm. An archived user cannot be given a seat.
* Remove a user's seat: from their row, "Remove the licence" icon, then confirm. An admin always keeps their seat. The user who loses the seat becomes non-paying. They keep their recordings and their agents. The bot no longer joins their meetings. Their calendar stays connected: the bot comes back if they get a seat again.
* Transfer a seat: from the non-paying user's row, "Take a colleague's licence" icon, then choose the colleague who gives it up.

## Removing a user

There are two distinct cases.

* **Archive** ("Archive" action from the user's row): their sign-in is blocked and they appear with the "Archived" status. Their calls and the data attached to them stay visible to the team. Reversible at any time with "Unarchive".
* **Delete** (bin icon): the user and all of their recordings are deleted. For 7 days, support can undo the deletion. After that, it is permanent.

To block access, or to keep the recordings of someone leaving the company, choose archiving.

## Organizing your users into teams

Teams group your users by function or scope: Sales, Founders, Tech / Product. They are used to target the automatic application of agents and to filter content. They do not carry access rights.

{% stepper %}
{% step %}

### Create a team

From "Users & Teams", click "Create a team".
{% endstep %}

{% step %}

### Assign users

Assign your users to one or more teams from their row, with the pencil icon.
{% endstep %}

{% step %}

### Filter by team

Use the tabs at the top of the list to filter users by team.
{% endstep %}
{% endstepper %}
