# Private mode

Restrict who can see recordings: for the whole account, per user, or for one specific recording.

A private call is only visible to its owner and to the call's participants. When private mode is on, a non-admin only sees their own calls and the calls they took part in on the home page, in search and in filters; a public call stays reachable by direct link. Admins see every public call, and the private calls they own or took part in.

{% hint style="info" %}
Before you start: you must be a workspace admin to change the account or per-user privacy settings.
{% endhint %}

## The three levels

| Level | What is restricted | Where to set it |
| ----------------- | ------------------------------------------------------------------------- | --------------------------------------------------------- |
| The whole account | Non-admins only see their own calls and the calls they took part in | "Settings", "Privacy" section, "Private Mode" |
| One user | That user's calls are only visible to them and to the calls' participants | "Settings", "Users & Teams", "Private" column |
| One recording | That call is only visible to its owner and to the call's participants | Call page, three-dot menu at the top right, "Set private" |

## Who sees what

Without private mode, every user on the account sees every public call. With private mode, a non-admin only sees their own calls and the calls they took part in on the home page, in search, in filters, in Insights and in the MCP connector. A public call stays reachable by direct link, for example when a colleague shares it with you. A private call is only visible to its owner and to the call's participants. The licence type, paid or not, does not change what is visible.

## Account settings ("Privacy" section)

* "Private Mode": non-admins only see their own calls and the calls they took part in. A public call stays reachable by direct link.
* "User Video Privacy Control": lets non-admins switch their own calls between private and public.
* "Default Privacy for New Admins": every new admin's calls are private by default.
* "Default Privacy for New Users": every new user's calls are private by default.
* "Non-Admin Private Agents": lets non-admins create their own private agents.
* "Internal Domains": your company email domains. A meeting where every participant is on one of these domains is considered internal.

### Declaring your internal domains

Your company domain is already recognized: Praiz works it out from your team's email addresses. Only add a domain if your company uses several, for example a second brand or a former domain name. Enter it in the field of the "Internal Domains" card.

Praiz uses these domains in two places: the opt-out email, which is never sent for a fully internal meeting (see "[Recording retention and opt-out](/administration/recording-retention-and-opt-out.md)"), and the "Meeting type" criterion in agent automation rules (see "[Using an agent](/ai-agents/using-an-agent.md)").

## Switching a user to private mode

1. Open "Settings", "Users & Teams" tab.
2. On the user's row, click the pencil icon.
3. Turn on "Private", then save.

What to expect: the "Private" column shows "Yes" for that user. Their private calls are only visible to them and to those calls' participants.

## Making one recording private

1. Open the call from "My Recordings".
2. At the top right, click the three-dot menu.
3. Choose "Set private".

What to expect: the call is only visible to you and to the call's participants. A non-admin can only do this if "User Video Privacy Control" is on.

## Consent to recording

In a video meeting, the bot asks to join. The host admits or refuses it. The host can also remove the bot at any point during the meeting. Recording stops when the bot is removed. See "[Record your conversations](/capture-and-transcribe/record-your-conversations.md)".
