# Recording retention and opt-out

Warn participants before a recording, and delete videos automatically after a period you choose.

Two admin settings frame recording: the opt-out email sent to participants before a meeting, and how long videos are kept. Both are under "Settings", "Compliance" tab.

Before you start: you must be a workspace admin.

## Opt-out email ("Recording opt-out email")

When this setting is on, Praiz sends an email to external participants about 10 minutes before a meeting that is due to be recorded. The email contains a link to decline the recording. One refusal cancels the recording for every participant.

Each external participant receives a single email per meeting, whatever the number of Praiz users invited. A fully internal meeting triggers no email at all: Praiz recognizes your colleagues by their email domain. If your company uses several email domains, declare them under "Settings", "Privacy" tab, "Internal Domains" card. See "Private mode".

Praiz only sends this email for the meetings of users whose calendar is connected.

## Retention period ("Recording retention")

Choose how long recordings are kept, or "Keep forever". After that period, Praiz automatically deletes the videos, their transcripts and all related data. Deletion runs once a day. It is permanent.

## Per-user settings ("Per-user settings")

In the table at the bottom of the tab, adjust the opt-out email and the retention period user by user. "Default" follows the account setting. The "Calendar" column shows whether the user's calendar is connected.

What to expect: the settings apply to upcoming meetings. Deletion applies to videos that are older than the period you chose.
