# I want to remove a user without losing their recordings

Someone is leaving the company or changing roles: cut off their access, or keep their calls without deleting them.

Deleting a user also deletes their recordings. To keep their calls, archive them.

{% hint style="info" %}
Before you start: you must be a workspace admin.
{% endhint %}

## Archive or delete

| Action  | The user's access   | Their recordings             | How                               |
| ------- | ------------------- | ---------------------------- | --------------------------------- |
| Archive | Blocked, reversible | Kept and visible to the team | "Users & Teams", "Archive" action |
| Delete | Cut off | Deleted along with them | "Users & Teams", bin icon |

## Archive a user

1. Open "Settings", "Users & Teams" tab.
2. From the user's row, choose the "Archive" action.

What to expect: the user can no longer sign in and appears with the "Archived" status. Their calls and the data attached to them stay visible to the team. You can reverse this at any time with "Unarchive".

## If you already deleted the user

Deletion can be undone for 7 days: contact support from the chat as soon as you can. After that, the data is permanently erased.

## Neighbouring cases

* Move a user from paying to non-paying: from their row under "Users & Teams", "Remove the licence" icon.
* Move a user from non-paying to paying: from their row under "Users & Teams", "Assign a licence" icon.
* Add a new user: "Invite users". Someone cannot create their own account.
